Qtr Set

Even in today's complex business environment, successful leaders instinctively know when the organization is not firing on all cylinders. And, they know that this impacts their bottom line. There are many methods to improving on your current reality; however I have found that the simplest strategies are the most effective. Quality leaders always know what areas of their organization have the largest challenges. I have identified a simple three step approach to addressing these opportunities.

IDENTIFY IMPROVEMENTS

The starting point is to list all the major departments/areas within your organization. This should be readily available because it is your organizational chart minus the Department Directors/ Unit Managers. Next, list the goals of each area and with the help of your teams brainstorm a corresponding improvement (what do you need to implement that helps you accomplish the respective goal?) Your goals need to be SMART, specific, measurable, attainable, realistic, and time sensitive.

RANKING IMPROVEMENTS

Now that you have documented the improvements, it is now time to rank each of them by evaluating the following factors, Cost to implement, Time to implement, and Impact of implementation. You can use a simple exercise that helps you to prioritize each improvement.

Assign a value to each one of the factors. Cost to implement: (1-High Cost), (2-Medium Cost), (3-Low Cost). Time to implement: (1-Long Time), (2-Medium Time), (3-Short Time). Impact of implementation: (1-Small Impact), (2-Medium Impact), (3-Large Impact). Take each individual improvement and grade it based upon this scale. Then multiply the three sets of numbers to get a total.

[The customer service department will have an avg. rating of 98% in the 1st qtr, Cost = 2, Time = 1, Impact = 3, Total = 6]

After you have tallied the totals for each improvement, then sort them by the largest number. You now have a prioritized list of improvement which allows you to work on the items that give the organization the biggest bang for the buck.

IMPLEMENTING IMPROVEMENTS

Use your prioritized list to begin assigning appropriate action items that will help to accomplish the improvements. Finalize the list of action items by adding completion dates and the resources (human and financial) needed to complete the action.

Now you are ready to start checking off the list. Keep in mind to involve your respective team members, and key stakeholders in each step of the process. Collaboration drives the best results.
